Scheduling & Certification

The day-to-day work of booking sessions, writing down how they went, and certifying a proctor to work for a specific customer. This chapter shows the full tables behind what the Onboarding Journey showed happening to one candidate at a time.

Every demo and assessment session, across every coordinator, lives on one board — so nobody needs to ask "what's on today" in a side channel. A real filter builder (Date, Type, Vendor, Proctor Type, Panel) keeps a busy board usable instead of one long undifferentiated list.

Each entry stays locked until 30 minutes before its scheduled time, a deliberate guard against recording a result before the session has actually happened — once that window opens, the panel can evaluate directly from this same board.

Proctor Certification

Three tabs cover the whole lifecycle of a Demo or Assessment: Demo and Assessment each list who's ready and let a coordinator schedule a session (one at a time, or via Multi Assign for a whole batch at once), and Results is the permanent, filterable ledger everything feeds into.

For a whole batch at once, Multi Assign flips the direction: set the panel, date, time and score cap once, download the pre-filled list of every ready proctor, delete the rows that don't belong in this session, and upload it back — one spreadsheet pass instead of one form submission per candidate.

Shortly before the scheduled time, the session unlocks for evaluation. The panel then records a result with a score, a reference, and a comment — and that one action is what lands in the permanent results list below, the same record a customer's quality team could later check.

Many customers require their proctors to be certified against that customer's own rulebook (its Standard Operating Procedure, or "SOP") before working their sessions. It starts with the customer itself: each one has an organization ID, a list of session types it runs (Live Proctoring, Record & Review, Testing, Training, and more), and a rulebook version number. Every certification is tied to that exact version — if the customer later updates its rulebook, that's a deliberate, visible action, and every certification recorded against the old version stops counting.

Certify works both ways: Individual for a one-off lookup by name or ID, and Bulk for certifying many proctors against one customer at once — download a template of everyone currently eligible, fill in a Candidate ID and Section ID for whoever should be certified, leave the rest blank, and upload it back. Nothing happens to a row left blank, which is the common case on an "every eligible proctor" download.

Registry is the other side of the same coin: every certified proctor, filterable by vendor and by customer, showing exactly which customers each one is currently certified for.

A certification can't quietly go out of date: there's no way for a proctor to stay "certified" for a customer once that customer's rulebook has moved on without them.
